Established, highly successful, global organisation based in Chiswick are looking for an experienced PA/Team Assistant to provide a high level of administration support and assistance to their Corporate Legal and Governance teams. 

This is a 12 week temporary booking to start immediately. Fantastic offices, with great facilities. £16 - £18 per hour, dependent on experience. 

As PA / Team Assistant you will be required to: 

  • Screen telephone calls – proactively deal with queries and take detailed phone messages.
  • Where required, monitor incoming and outgoing email.
  • Co–ordinate and arrange travel requirements (e.g. flights, hotels, taxis and visas), external training courses and medical appointments associated with travel.
  • Co-ordinate external and internal meetings (including room bookings), conference calls and video conferences.  
  • Prepare and amend team presentations.
  • Organise monthly Governance team meetings, annual Governance conference/offsite and other team events.
  • Support organisation of internal training events.
  • Manage and maintain team worksite folders in Sharepoint and Teams.
  • Set up vendors on payment system and create purchase requisitions; support SAP invoicing procedure; proactively deal with invoicing queries; log all Legal invoices on the Legal Invoice Tracker.
  • Provide administrative support during busy transactional/project activity.
  • Assist with team budgeting process.
  • Scan and profile Legal Documents for the Legal Database and prepare original documents for off-site archiving.
  • Support new starters in the team.
  • Assist with printing, binding, scanning and document formatting when required.
  • Process and distribute post.
  • Undertake ad hoc tasks.

To complete the role of PA / Team Assistant you will have: 

  • Proven PA / Team Assistant experience, providing support in a legal environment a distinct advantage. 
  • Working knowledge of SAP or other purchase order system 
  • Able to work under pressure with little supervision 
  • Strong attention to detail and a high level of accuracy 
  • Ability to use own initiative and be proactive 
  • Excellent IT skills, in particular Word, Excel and PowerPoint
