Office Manager

Local to Richmond, Surrey.  Must be a car driver/owner.

Boutique medical clinic specialising in men’s health and physiotherapy services, requires an experienced Office Administrator to oversee the clinic facilities and provide administrative support to the small team of directors either within the clinic or at their small, serviced offices, which are close by.

As Office Manager you will have full responsibility for all administration within the business.  Some of the duties you will be required to undertake will include:

  • Ensure the clinic is presentable and always runs smoothly.
  • Manage and liaise with external suppliers including:
    • IT support, cleaner, gardener, florists and maintenance team as required.
  • Establish a simple central filing within Office 365/ SharePoint that all staff can access and understand.
  • Make recommendations for more efficient work methods, both manual and IT. Longer term establish whether better software can assist these processes.
  • Manage health and safety and fire regulations within the facilities.
  • Diary Management and assisting in booking clients, rearranging client appointments, resolving overbooking of clinic rooms.
  • ‘Partial’ reception duties at the clinic if high profile visitors need assistance.
  • Prepare PowerPoint presentations when needed.
  • Check expenses and raise invoices and file on central system.
  • Assist in marketing - updating websites, social media, videos, advertising, radio, some proof reading.
  • Onboarding of new employees.

To fulfil the role of Office Administrator you will have the following skills and experience:

  • Proven experience within an Office Administration role, ideally within a similar environment
  • Strong background in using Office 365/ SharePoint with the ability to train others.
  • Good attention to detail and natural ability to spot gaps and resolve issues in a good- humoured manner.
  • Pleasant and friendly verbal communication
  • Good writing skills
  • Excellent ability to deal with difficult situations in a calming manner.
  • Pragmatic organisational skills that reflect the needs of a small, changeable and entrepreneurial work environment.
  • Enjoys solving challenges.
  • Good timekeeper
  • Team player that with can-do attitude whatever the task
