Events / Conference Manager - 12 month FTC - Immediate Start 

Full time - 37.5 hours per week This could also be a part-time opportunity as well. 

Teddington, up to £35,000. It will be home based initially and then you will need to commute to the office on a daily basis. 

Well established, professional business to business conference organisation, requires an experienced Conference Manager to be the main point of contact for clients, providing a full conference and event management service, organising in-person, virtual and hybrid events, for not for profit, charities and medical related organisations.

As Conference Manager you will have overall management and full responsibility for clients, providing information, advice and support for their events.

Some of your day to day tasks in the role of Conference Manager will include:

  • Liaising with clients to ascertain their precise event requirements
  • Managing conference programme and abstract submissions
  • Speaker management including liaising with speakers or special guests
  • Selling sponsorship/stand/exhibition space to potential exhibitors/partners
  • Overseeing the production of collateral for all events
  • Producing detailed plans for events (e.g. timelines, venues, suppliers, legal obligations, staffing schedules, etc) and ensuring that deadlines are observed
  • Securing and booking suitable meeting venues and hotel accommodation
  • Ensuring insurance, legal, health and safety obligations are adhered to
  • Coordinating venue management, caterers, stand designers, contractors and equipment hire
  • Organising facilities for car parking, traffic control, security, first aid, hospitality and the media

To fulfil the role of Conference Manager you will have /be:

  • Have proven events and conference management experience, including in depth knowledge of venue sourcing and hire in the UK
  • Keep oversight of the delivery of their conference services
  • Support and direct other members of the team
  • Have excellent time management and delegation skills
  • Be able to establish productive relationships with people at all levels
  • Have good communication, organisational and presentation skills
  • Be commercially aware and customer-focused
  • Have knowledge of sales, marketing or copywriting
  • Experience of budgeting and financial management
  • Be able to manage a small team including a conference administrator and temporary event staff

Monday to Friday - 9am - 5:30pm, potential longer hours may be required, particularly in the run up to events

Weekend and evening may also be necessary and overnight stays away from home will be required for residential conferences.
